Adminstrative Assistant (Part-Time)

SUMMARY: This position reports directly to the Life Transition Program Manager and works closely with the Life Transition Program team on a day to day basis, performing a broad range of secretarial and minor administrative duties, primarily relating to department support.


The essential functions of this position include, but are not limited to, the following:

  • Performs a broad range of secretarial and minor administrative duties, exercising independent judgment within general procedures established by the Life Transition Program Manager including but not limited to: organization, maintenance and submission of documentation and information (includes organization charts, progress reports, transaction history, support services to Trainees, Associates, Interns, and volunteers).

  • Coordinate meetings and appointments with internal staff and external personnel

  • Receives and screens telephone calls and communicates regularly with members of the Life Transition Program team.

  • Maintain Agency files; fax and photocopy documents; scan documents to appropriate agencies.

  • Maintains confidentiality of all agency matters and personnel matters.

  • Light accounting and analysis, including preparing daily deposit.

  • Consistently maintain professional and appropriate appearance and demeanor

  • Respond positively to direction and feedback on performance.

  • Ability to work effectively and collaboratively with members of the Life Transition Program team.

  • Answer a multi-line phone system and greet clients

  • Staff must be able to complete client Program enrollments, re-enrollments, dismissals, orientation, and completions

  • Provide administrative support to the Life Transition Program facilitators

  • Develop and maintain good networking relationships with community agencies (i.e. Fresno County Probation Department, Department of Social Services, Fresno County Superior Court, etc.)

  • Assure clients are following policies and procedures as agreed in their contract.

  • Provide court documents and status on referred clients to appropriate agencies.

  • Safeguard assets of MMC, including merchandise and other assets.

  • Support the mission and goals of the agency and programs.

  • Must be flexible to possible changes in schedule due to program coverage needs.

QUALIFICATIONS:  To perform this job successfully, an individual must be able to perform each essential function and be willing to take on new roles as needed. The candidate must demonstrate a high level of attention to communication; is collaborative and takes initiative; displays a high degree of customer service skills and attention to detail.

  • Associate’s degree or two years secretarial or administrative assistant experience required.


  • MS Office, specifically Outlook, Word, and Excel are required. Power Point a plus but not required.

  • Experience with Beacon Database or similar program is a plus


  •   Communicate effectively verbally and in writing with executive team members, staff and external persons


  • Proficient in managing multiple tasks, prioritizing workload, being able to work in a team and independently at times
  • Ensure clients are prepared for group with necessary resources.


  • This position typically functions indoors in a climate-controlled, office environment with light to moderate noise associated with business office equipment.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

  • Regular attendance and promptness are considered part of each employee’s essential job functions.


  • Possession of a valid California driver’s license and proof of liability insurance on personal auto.

  • Must be insurable at all times at standard rate set by MMC insurance carrier.


  • Candidate must pass a background review as well as tuberculosis and drug tests to be eligible for employment at Marjaree Mason Center.
