Administrative Assistant

JOB DESCRIPTION

  • Under the direction of the Emergency Services Manager, this position will have a primary assignment of working from the Administration building.  This position will monitor access to the MMC Administration building, via screening visitors at the front entrance; will also receive crisis walk-ins, and provide the Safe House CSA staff with summary of information on client needs (bilingual, food, etc.) and an assigned area to meet with the crisis. Located in the Administrative Building, this position is responsible for providing general office, clerical and client service support; reception, multi-phone line functions and positive, professional in-person interaction with members of the community, clients and MMC various MMC department personnel.  This position will provide support to other staff and Advocates with crisis assessments: walk-in and hotline calls.

    Closely monitor front door access of the Administrative building for security purposes.

  • Welcome persons coming to seek services, notify the Safe House of the need for an Advocate to assist with an assessment; and assign a meeting room for that interview.

  • Maintain positive community relations with other agencies, law enforcement, and other guests by greeting in person or on the telephone.

  • Provide information on MMC services to individuals seeking assistance.

  • Provide support to Safe House assigned staff during crisis assessments: walk-in and hotline calls.

  • Is responsible for notifying staff of security issues or potential problems in the area;

  • General answering of phones, route calls to voice mail, notify staff of critical calls, take messages and return calls.

  • Enroll clients in groups/class sessions.

  • Ensure the front reception area, lobby area, client in-take room, Rosa Parks room and surrounding areas are clean and orderly at all times.

  • Maintain client emergency supply closet.

  • Organizes and maintains office files, records, and documents.

  • Responsible for handling money, processing monetary transactions and entering data in Raiser’s Edge software application as it relates to payment for group or counseling sessions.

  • Makes CPS reports as appropriate.

  • If needed, assist at the Administration building or Safe House in Fresno with taking hotline calls and crisis client assessments.

  • Miscellaneous duties as assigned (includes assisting with development team with donor relations activities, as needed)

EDUCATION and/or EXPERIENCE:

  • Bachelor's degree (B.A.) from a four‑year college or university in the field of human services preferred.Related experience accepted.

Knowledge Required:

  • Knowledge of Referral System and service agencies in Fresno County

  • Experience using Raisers Edge, preferred

Abilites Required

  • Bilingual (English/Spanish), preferred

  • Personable and professional with walk-in clientele, the community, other agencies and law enforcement

  • Ability to handle high volume desk in an organized manner

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

  • Ability to write routine reports and correspondence.

  • Ability to speak effectively before groups or organizations.

  • Ability to adapt to the environment, to solve practical problems, to deal with a variety of multiple variables in situations where only limited standardization exists and to make independent decisions within scope of responsibility.

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Demonstrated ability to work with sensitivity and without discrimination towards peoples of diverse cultures, races/ethnicity’s, socio/economic positions, ages, religions, genders, physical/mental challenges/disabilities and sexual orientations.

  • Ability to understand the needs of families and women and children and a willingness to address their concerns with action designed to create change; sensitivity to issues pertaining to domestic violence.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Possession of a valid California driver's license and proof of liability insurance on personal auto.

  • Must be insurable at all times at standard rate by set by MMC insurance carrier.

  • Must pass tuberculosis test, drug test and fingerprinting test.
